I’m considering using SuiteCRM for our business and would appreciate feedback from experienced users.
Our main objective is to manage client/customer relationships along with basic accounting and sales documentation, including:
-
Customer/client management
-
Creating and managing quotations
-
Converting quotations into invoices
-
Creating credit notes
-
Tracking payments and outstanding balances
-
Customer statements and transaction history
-
Sales/order management
-
Reports for sales and receivables
My main question: Can SuiteCRM handle these requirements effectively, or would we need to integrate it with a separate accounting system?
If you are currently using SuiteCRM for similar requirements, I’d really appreciate hearing about your experience, including which modules, extensions, or integrations you use.
Hi,
Based on my experience, SuiteCRM can cover most of the requirements you mentioned.
-
Customer/client management: Available out of the box.
-
Quotations: Available out of the box.
-
Quote → Invoice: This can be handled directly in SuiteCRM without requiring an extension.
-
Sales/order management: Opportunities can be used to manage the sales/order workflow if you don’t need a dedicated Order module.
-
Credit Notes: Possible, but additional customization may be needed if you require a complete Credit Note workflow.
-
Payments and outstanding balances: These can be implemented in SuiteCRM, but the exact level of customization depends on your accounting workflow.
-
Customer statements and transaction history: Can be implemented/customized.
-
Sales and receivables reports: SuiteCRM’s reporting functionality can cover these requirements, with custom reports where necessary.
For accounting, SuiteCRM was not originally designed as a dedicated accounting system. However, it is highly customizable, so accounting-related functionality can be built into it. This can include recurring invoices, Credit Notes, payments, receivables, customer statements and other financial workflows.
Therefore, you don’t necessarily need to integrate a separate accounting system. If your accounting requirements are not extremely complex, SuiteCRM can be extended into a lightweight ERP/business management system tailored to your business.
This is based on what I know from more than 10 years of working with and customizing SuiteCRM. However, when it comes to actual implementation experience and industry-specific consulting, I believe @BastianHammer would be able to give you much more detailed and practical advice on how well SuiteCRM fits your particular business.
SuiteCRM can handle all those requirements. HOWEVER… SuiteCRM is NOT an accounting system. You can absolutely invoice and track by status which ones are open and which ones are paid, etc. You can produce reports as such. However, don’t expect a balance sheet or income statement kind off thing. SuiteCRM is not an accounting system.
Hello Nasir,
in which country is your business?
What’s the size of the company (maybe in terms of how many invoices do you create per month)?
If your requirements around accounting are mostly covered by Suite (just try out the standard - several things can be done there already).
If your requirements are much more complex then the standard / you’ve got a lot of transactions, an integration into something dedicated might be better.
That said, a few customers / projects are using Suite fully for the accounting / book keeping process. Two systems are heavily customized and it’s working well.
