Possible? Automatically processed invoices using customer saved payment for monthly service

I’m getting used to SuiteCRM but I have a product I’m already selling and hoping to move off QuickBooks for payment processing, as QuickBooks manages the actual processing of the monthly invoice (as a “Sales Receipt”) but it’s detached from the contract and other items I want customers to be able to access from a portal I’m hoping to use SuiteCRM to accomplish. Before I explain further, I figure using Stripe would be ideal (and I prefer them over PayPal).

I’m offering Web Hosting for local businesses. For me to cover the hosting, in QB it’s billed automatically using Sales Receipts which processes the Credit Card on file every month on X date and emails them the PDF receipt. The concept is pretty straightforward.

I want to use SuiteCRM to create a contract, then have that contract tied to an invoice that bills monthly but captures the payment through Stripe or something and sends a copy to the clients.

Maybe I’m too new to the system to put it all together the “SuiteCRM way” right this second, but I would think I could tie a type of contract to a workflow and have said workflow create a monthly invoice that’s set to process the client’s payment method via Stripe if that information is saved.

It seems simple enough because, like I said with QB, I go in, set a Sales Receipt to run every month which captures the charge and sends a confirmation receipt to the client. In practice, it’s maybe 3-5 steps to set it (and then forget it).

I guess the question first and foremost is: is this even possible?

Hi @kevinmccarthy,

Welcome to the community!!!

Let me start by stating that SuiteCRM is not a accounting software. It gives you some tools but it isn’t its purpose. In fact you can purchase a tool on the store to integrate SuiteCRM to QB.

Now, The beauty of SuiteCRM is that it can be customized to perform many different tasks. Workflows and Scheduled Tasks should help you to achieve your objective. More info on that here:

You should also take a look to this paid module from the store :slight_smile:https://store.suitecrm.com/addons/mts-advanced-invoice

Good luck!!

Hey @AlxGr, I know it’s not accounting an accounting software, but I was demonstrating what I do with a software that happens to be accounting software.

I’ll review the scheduled tasks, thanks.

As for that plugin, on first look it seems to only allow management of recurring invoices, not automatic billing of a saved payment method—is this not possible?

Actually, is it possible to save a payment method with the payment data at all to run as-needed*?

*I say “as-needed” but I mean for the situation I’ve run into where a client says, “just charge [that] to the card you have on file and send me the receipt.”

By mentioning that SuiteCRM is not an accounting software I just wanted to let you know that it will require a lot of work to replicate all the tasks an accounting software like QB does. Not impossible but will require a lot of effort.
Now, based on the description of your process, I believe an integration SuiteCRM-QB will be the ideal solution if you want to have the best of both worlds. Check these modules from the store:

About your questions, I don’t have an answer as I’m not the creator of the module. You will need to contact the creator from the store.

BTW. I’m not sponsored by anyone. I’m suggesting what I believe will be better for you, based on your requirements.
