Hi,
I am trying set up SuiteCRM. We are a transportation service and need a few email groups where group members can respond as the group.
For instance: theowners@domain. We want to be able to add and remove folks so when outside organizations email this email address, any of the listed users can reply to the email. We are a small company, so for right now, my wife and I will be group members in all of these. Whenever someone emails one of these group address, it should ping my wife’s and my business email so that we can reply and either of us can see the traffic for the given email chain.
Groups needed:
info@domain (auto reply to list appropriate contact information and scheduling procedures)
receivables.payables@domain
theowners@domain
ASAP@domain
tpp@domain
Is that possible?
Any reason why you need to do this in the CRM, and not just add email forwarders at your email hosting level? I think that will accomplish everything you’re asking for. When someone sends an email, everyone on the forwarder would get a copy. If they also had the account added in their email client they could respond as whomever they wished.
The only hitch would be is if everyone has access via IMAP to a group account, when someone leaves, you’d have to change the password for everyone else.
BTW I worked as a GM for a Transportation Broker for 15 years. Nice to meet you!
Thanks for the quick reply. We ended up converting some of my military skillsets to civilian life. I built, inspected, stored, and transported bombs and missiles in the Air Force. That, and I drove for a couple of companies after a divorce.
My reasoning is simple. My wife will be doing some significant email marketing and we would like to have all of our group emails in the same place, instead of needing three different systems on our server. What we are really trying to get to happen is to be able to have a good visual on open, needs follow-up, and closed conversations.
It’s easy enough to setup group emails, just go to admin and inbound emails and add an new one.
Then Go to outbound emails and add a new one, and let users send as this account.
I don’t use this feature much, so I may be wrong, but I don’t think you can limit access. Once you add a group account everyone who has access to SuiteCRM has access to it (I think?).
Also setting up email notifications from the CRM isn’t going to be straightforward when a new email arrives in the group email account. You’d have to setup a workflow to do that. I’m thinking my first suggestion doing on it on your web host via forwarders is a better option to achieve what you want to do.
