Errors when trying to send emails

Hi all,

CentOS 8-php 7.3.15-SuiteCRM 7.11.12-CleanInstall

I have three set of errors for a single email sending action each time:

When I click on email address to send email I get following when the Compose Email popup displayed:

All is OK, email address is correct, but what are these errors ?

After sending email and Email sent popup displayed, I see following errors in log. I have not used any templates for sending email.

This happens for every new email. Emails are sent and arrived to recipient, logged in History of the account.

When I check Account-Overview page and then clicked the email log contains following, but the email displayed correctly

Nothing in php error log and what should I do for those error messages in SuiteCRM ?

Hi all,

I have deleted email settings from user profile popup. On User Profile Screen/tab I see my correct email address marked as primary and reply-to. In Settings popup, Mail Accounts tab, I see no Incoming and system as Outgoing.
Open Settings popup, click Add for Outgoing SMTP Mail Servers, type in From name and correctly my email address for From Address and mail server and set Enable TLS, port 587, check use SMTP Auth and typed in user and pw of email account and Send Test Email. Popup says email sent and I received email.

Click done and I see new email account under Outgoing SMTP Mail Servers section.

Click Add Mail Accounts. typed in account name, user name, pw, server address, use SSL, port 993 and click test settings - it says Connection completed successfully, adjusted other folders successfuly. Fill Outgoing Email section Reply to Address in incoming and selected previously created Outgoing SMTP Mail Server and Saved.
Go to Emails menu, successfuly viewed all folders of emailbox.
Go to Accounts menu, select the account and click on email address to get compose email popup.

Composed email and clicked send, Email Sent popup displayed with the set 2 messages in the log. Email sent and received by recipient and logged in History of account.

Nothing helped(deleting and re-defining email settings again) for reducing ERROR messages.

Update:

a. Email sent from compose popup, recorded to account & contact and also mailbox - Sent folder and can be visible by another email client from sender, and email arrives to recipient, but lots of errors in the log.

b. Adding Incoming mailbox popup can connect mail server and see the inbox, trash and sent folders and I can choose them but Emails module can only view Inbox, when I click folders icon, loading indicator shown but never ends, so no other folders visible on Emails module with ][ERROR] ImapHandler trying to use a non valid resource stream. messages

c. Email on recipient is not displayed with “From name” that I specify in Outgoing emailbox settings. Only the email address is used, even I see from Admin - Inbound Emails of that user’s email has a valid From Name, why ?

On my test server, I have performed following and want to share with you. Please let me know if you need more info. Emails will be heavily used by us and I want to clear these errors as much as possible.

I have removed my incoming, outgoing email account definitions from my user profile

I have applied that fix to my test server. I have copied the fix to my EmailsDataAddressCollector.php with changed if clause and from and reply strings. Performed QR & R and restarted apache.

Relogged in to my user and created my email accounts in my User Profile.

Defined Outgoing SMTP Mail Server

Successfully received test email but without my specified “From name”

Defined Incoming

All seems OK except popup title

But still lots of

c. Again the email sent to recipient and logged into Account-History and also to the SENT folder of the sender. The issue for FROM NAME still exist, the email does not sent with the specified FROM NAME . I have also checked mail headers and From name is coming from default name and email address not the set value from outgoing account definition. Reply-To: address is in correct form(name & address)

d. When I clicked Emails account my inbox perfectly displayed but with following on the log

e. When I try to click on Folders icon I get Loading animation but after minutes nothing displayed

In my new test server installation, I have choosen Users may send as themselves none to force all to use their own accounts. It seems situation is a bit different then above. It is again 7.11.12 clean install but not like above.

I’m trying to document all the case, then I will update again.

Thanks I will do my best.

Just a strange behaviour that I have discovered: I have clean installed 7.11.12 without any SMTP Server Settings with just specifying Admin email account on top of install.php screen.

Time format, currency, symbol has applied as I specified on install screen. But admin email is not defined as admin user’s incoming email. Also Date format is not set as specified on install screen.

And I see only one system Email account definition for Outbound Emails.

I have set Admin - Email - Email settings, tested with test email and saved. Top screen warning for no SMTP for notifications disapperead and my typed settings also saved for “system” Outbound Email.

So far so good, except some missing parameters for admin user from install screen.

And I have simply opened Admin Profile to specify email address and clicked Email Settings and then Mail Account tab, popup shown with no incoming email and showing system Outgoing Email but with red warning “Warning: Missing username and password for outgoing mail account”.

What is that ? without defining and saving I just simply click Close on top of popup. And went to Admin Email Email Settings and Send Test Email again, it was OK, I received Test email.

And then Admin - Email - Outbound Emails: I saw that now I have two Outbound Email accounts and both of them has the name “system”. First one with my parameters from Email Settings second one has no info in it.

Is it usual to User Profile - Email Settings - MailAccount tab to create implicitly/silently a new Outbound Email account and show the current one as wrong password ?

I have deleted second system and tried the Email Settings - MailAccount again and saw again the red message for Outgoing email but not created a second system again.

I have created user incoming/outgoing for admin user and it is working but MailAccount Tab still shws the red message about incorrect password for system Outbound account.

When I sent email to account -contact it successfully recorded but above error messages still logged and emails not sent with specfied From name for personal email accounts.

The only progress from yesterday is to have EMAILS module working properly for all folders but do not know how it is fixed. Is it the sequence of creation of email accounts important ?

Do you have an idea ?

Why some settings not transferred from install screen to user profile ?
Why two times system Outbound account created for the first time ?
WHy Mail Account tab always show incorrect pw error for proper/working systm email account ?
Why the errors still ?
Why the from name of outgoing account definition not used for sent emails

I think the email address you specify in the install screen is just taking note of “which address to use to contact the administrator”, not actually a definition of an email account to use. That would require all the other parameters (server, credentials, etc),
The account you create in the Admin user’s profile is not the same thing as the account created in Admin menu / Outbound accounts. Did you call the first one “system”? Don’t. That generates confusion. The “system” account is always named “system”, but if you create an account called “system” in the wrong place, it won’t become the system account just because of that name.

Note that the actual system account is created automatically, even if it is blank.
There is some bug with the passwords saving, but I haven’t completely understood it yet

Different bug, there are a couple of fixes on Github for it, waiting to be merged.

I think so but it would be better to transfer the value that is entered as email address of admin user to profile of admin user instead of showing userid or example.com, not an actual issue though.

2.No, After completion of installation I see one “system” in Outbound Emails, this is the time that admin has no email account defined. I did not call/name anything with system it is created by installation.

And in some cases, another Outbound account again called as “system” implicitly when only the Mail Accounts tab opened from Email Settings popup.

I have performed another installation this time specifying SMTP Server Settings at installation, when at first login I see “system” is created in Outbound Emails but again with missing/incorrect information. I have checked Admin - Email - Email settings, it seems parameters correct, test email sent, I have just saved the screen without changing anything and then check “system” at Outbound Emails and I saw that that one also corrected with the values from Email Settings and test email sent.

After that I have created personal IN/OUT emails for Admin as a user from User Profile all is OK, no password warning for “system”, test emails OK, mails to account OK. (but with errors). But again I start to experience EMAILS module folder view issue, it hangs on Loading but the INBOX viewed.

For now I have decided to proceed to other customisations to finish my plan and will return this later on.

I mean when I sent emails to Accounts/Contacts I still see above shared ERROR messages in this thread, in the log. I will try to document later on with different scenarios, on different posts.
OK, I can update with existing screens.

This is really hard to understand.

If I may ask you one more thing - please keep an eye on these two tables in the database (with phpMyAdmin for example):

inbound_email
outbound_email

This should make things clearer, since you can spot UI errors more quickly (when information isn’t saved correctly).

Actually I’m gonna closing this post. It is now too long , hard to track/read and except additional useful debugging information provided by you, we could not come to a conclusion/solution for so many different issues which are also probably ticketed as bug and waiting for fix/merge yet.

Issues about emails are really various and keeps me to connect with different screens. Therefore topic is unnecessarrily messy.

I will create new atomic(at least I will try) posts for issue points.

As a summary
a. I need to check inbound_email and outbound_email tables.
b. I need to use extra logging with uncommenting some lines in SugarPHPMailer.php.
c. suitecrm.log as usual
d. php log as usual.

Many thanks for your all support and help. Having such community is great
