Best free/budget CRM for a small private health clinic

Would appreciate some advice.

Currently: opportunities (forms submitted on the website with contact information of interested patients) are sent to us by email. our appointment calendar is stored on Google.

Why we want a CRM

  • We want to control our patient data (self-hosted or hosted in an appropriately secured centre for EU health data compliance). Therefore it would also be useful if the CRM could store appointments and generate a calendar to be viewable by all stakeholders in browser and on mobile.
  • Marketing data: Ideally, a CRM should store opportunities. We could then convert this opportunity to a sale (booking an appointment) by manually contacting the patient and this can then be recorded as a won or lost opportunity. I would love for this to be recorded back on to Google Analytics for analysis of our referrers (I understand this can be done through a HTTP request on the server side).
  • Less chance of losing leads and better control of which staff member is actioning what
  • While recording information and calls about a patient is useful, it’s not all that essential more than just a line of comments as it’s usually a single appointment to complete the treatment.

I appreciate customisation may be needed but is something like SuiteCRM a good starting point or is there something better or more suited? Is a fully-fledged CRM overkill for this?

I’d say that SuiteCRM is a good place to start for a business of your size.

Our company used an Access database for our CRM and as anybody familiar with CRM systems will know; it was a disaster.

Since then, we have migrated over to SuiteCRM and after a few modifications, we are happy with it!

So I’d say if you are unsure of what you need from a CRM, Suite is a good place to start to get your bearings in the world of CRMs.

In regards to Calender funtionality , SuiteCRM has a built-in calender that can show Meetings/Tasks/Calls. This calender can be viewed by all users.
You can also get 3rd party products that allow Syncing of the CRM Calender and an E-mail Client’s Calender. (i.e: Thunderbird Calender)

In regards to the Google Analytics, I don’t think SuiteCRM has any innate functionality around this.
But you are able to create Opportunities in the CRM. You can also create Leads which has the functionality to Convert them into a Contact or an Account.

This is, at the time of this post, the Most recent version of SuiteCRM so it should have all the built-in functionality available.

For a small private clinic, I think SuiteCRM is still a solid option, especially if you prefer self-hosting and want full control over patient and lead data.

The requirements you listed (lead management, appointment tracking, sales pipeline, staff visibility, and reporting) are all things a CRM can handle well. The biggest advantage is having all patient inquiries and follow-ups in one place instead of scattered across email inboxes.

If budget is a major concern, I’d start with SuiteCRM before investing in more expensive healthcare-specific solutions. You can begin with core CRM functionality and later integrate calendars, forms, email automation, and reporting as your needs grow.

One thing to consider is compliance and data protection requirements in your region. If patient records are involved, make sure hosting, backups, user permissions, and audit trails meet your regulatory obligations.

For a small clinic, a fully featured CRM is not necessarily overkill—it can actually save a lot of administrative time and reduce missed follow-ups. The key is starting simple and only enabling the features you truly need.
